Talking teamwork
InstantSurvey Professional makes it easy for every member of your team to have their own unique accounts and focus on their own work while also being able to share and collaborate with other team members under your license. By setting up groups under your account, users within it can all share and access the same surveys, make edits or establish templates together, so that everyone starts on the same page. Furthermore, you can share your survey distribution information as well, so that other members of your group can take a peek at the progress of the survey, help evaluate it and act based on that. You can also allow your users to view survey results, so they can create their own custom reports, or export the data for further analysis on their own.
To share surveys among other users within your account, the first step is putting together a group, as follows:
- Click on My Groups underneath the Home tab
- Under My Groups, click on the Create Group button
- Add a name for your group and your company/organization name, then click Finish
Once your group is built, you then need to add your group members. You can either invite users who already exist, as follows:
- Go into My Groups underneath the Home tab
- Select the group you want to add users to, and click the Invite button
- Provide the email addresses of the already existing user accounts, and click Next
- Provide the text for the email you want to send in your invitation, and click Finish
Or when creating new users, you can choose the groups you want them to be in from the start, as follows:
- Go to My Groups underneath the Home tab
- Click on Create User from the My Users section
- Provide the appropriate user information, and click Next
- Select the groups in which you would like to include these users, and click Next
- Continue with the user creation process until complete
Once you have your group set up, you can then share items (surveys, distributions, reports) by changing the permissions within the particular item. With the permissions, you can allow a user to read, write or delete the particular item being shared. It is up to you which access you want to grant the other members of your group. You can set permissions for your survey in a variety of locations, and set them for a survey, a distribution, a report or all of those options. Whenever you click on the Permissions option for a particular survey item, there will be the option to Apply to dependent objects. That will share all aspects of your survey (the survey itself, the distribution, and the reports) with all members of your group if selected. Otherwise, you can choose to share only certain aspects of the survey by setting permissions either from the My Surveys page, the Survey Management page, or the Custom Report page.
